What is Xenon Systemise?

Xenon Systemise is a workflow feature built directly into Xenon Connect. It allows accountants, bookkeepers and their teams to work through specific tasks using repeatable, templated processes.
 
Firms can create workflows for recurring work such as VAT returns, MTDIT returns and general bookkeeping. Each template gives the team a clear set of steps to follow, helping work to be completed consistently and in the way the firm expects. 
 
Instead of relying on individual working habits, Systemise gives everyone a shared process, which makes it easier to maintain high standards and consistency throughout client work.

What problem does Systemise solve for accountants and bookkeepers?

Creating more consistent and connected workflows:

Maintaining consistent processes across an accounting or bookkeeping practice can be challenging, particularly when different team members have their own ways of completing tasks. Important bookkeeping information can also become disconnected from the checklist being followed, making it easier for issues to be overlooked.

Systemise brings the workflow and bookkeeping data together within Xenon Connect. Relevant bookkeeping checks can be embedded directly into specific task steps, ensuring team members have the information they need at the right point in the process.

For example, an unexpected tax code check could be linked to the relevant step within a VAT return workflow. This allows the person completing the task to identify and review the issue as part of the process, ultimately helping the team complete work more consistently and in line with the firm’s expectations.

Managing deadlines and workloads:

Systemise also gives team members a clearer view of their workload, including upcoming deadlines and the progress of individual tasks. It’s clock metric considers both task progress and the approaching deadline, helping users understand which work is becoming more urgent and what needs their attention first. 
 

This visibility also benefits managers by providing an overview of workloads across the team. They can quickly identify where work may be falling behind, where additional support is needed or whether tasks should be reviewed, prioritised or reassigned.

We asked Gareth his favourite Systemise feature and he said the digital sticky notes! 
 

This allows users to attach a digital sticky note to an individual task or workflow template.

Sticky Notes help firms capture information that might otherwise be held only in a team member’s head. By placing that knowledge directly within the relevant client or task, it is available whenever someone completes the work.

This is especially useful when a team member is on holiday, leaves the firm, or a new colleague takes over a client. Instead of searching through messages or relying on a handover conversation, the important context is already attached to the process and ready to use.
